What does this actually cost?£500, one flat fee, paid before we start. It covers the source of truth, your LLM of choice set up with it, the skills and prompts for the jobs you repeat, the automations that fit, and the handover. If you then want something bigger built, a lead-handling system, a CRM wired in, a content pipeline that runs on its own, that is scoped as sprints with the number in writing first.
What is a source of truth? One document that holds what the business does, who it is for, the prices, the proof, how you talk and what you will not say. It is what makes an AI sound like you instead of like everyone else. I write it with you in one sitting of questions, usually about half an hour, and it becomes the first thing every tool reads.
Which tools do you use?Whichever fit the job and your budget: Claude, ChatGPT or Gemini for the language work, your existing CRM and email platform where possible, and lightweight automation such as Make, Zapier or a small script on your own hosting. I do not resell a platform and I do not take a commission from any of them.
Will it sound like a robot wrote it?Not if it is set up properly. The first sprint is mostly capturing how you actually talk to customers and turning that into instructions, examples and guardrails. Anything customer-facing gets a human review step until you are confident enough to remove it.
Is my customer data safe?It stays in accounts you own, on paid business tiers where the provider does not train on your data, and nothing personal goes into a tool without a written note of what and why. If a workflow needs data I would not be comfortable sharing, it does not get built.
Do I need a technical person on my side? No. You need someone who knows the business well enough to answer questions for a couple of hours in the first week, and whoever will use the workflow day to day for the handover.
What if it does not work? The handover is not finished until you have produced something usable with it on the call: a post, an email, a reply to an enquiry, in your voice. If a workflow turns out not to be worth having, I say so early rather than build it.
